Questions
The questions people ask, whichever AI they use.
Who sees your files
Who can see my files?
You, and the AI you're working with. Your files stay in your own Dropbox, Google Drive or OneDrive. Living Projects carries your notes between your AI and your storage, and doesn't keep a copy. What your AI reads is handled like anything else you share in a chat, under that AI company's policy.
Is my content used for anything else?
No. Living Projects doesn’t keep a copy of your content, share it with others, or use it to train AI.
What your AI reads is handled under that AI company’s policy, like anything else you share in a chat.
Do I need to sign up for Living Projects?
No. There's nothing to sign up for. When you connect, your storage asks whether Living Projects can use it. You click Allow, and that's it. You can turn it off later in your storage's settings.
Living Projects is a tool my AI uses. Is it safe?
Yes, and you stay in control. Your AI uses Living Projects to save notes, record decisions, park ideas for later, and organize your project. Nothing saved is deleted. When something changes, the new version is added and the old one stays. The one page that gets rewritten is the Current Standing, the summary of where your project stands, and only after you agree.
Cost and plans
What does it cost?
Nothing. Living Projects is free. You use it with the AI and the storage you already have.
Which AI plan do I need?
It depends on your AI. As of today:
Claude: any plan, including the free one.
ChatGPT: a paid plan. We’ve submitted Living Projects to ChatGPT’s directory; once it’s listed, it may work on the free plan too.
Gemini: Google AI Pro or Ultra. Gemini’s free plan has no place to add a custom app.
Each AI company sets its own plans, and these can change as they update. Each AI's page under Connect has more.
Connecting your storage
My AI is already connected to my storage. Why connect Living Projects too?
Your AI’s connection to Dropbox, Google Drive, or OneDrive is separate from its connection through Living Projects. Connecting one doesn’t give the other access.
Your AI uses the Living Projects plugin to save and read your project’s notes, decisions, and summary. The plugin needs its own connection to your storage for this to work. You connect your storage during setup and approve access on your storage service’s page.
Can I use more than one storage?
Yes, all three at the same time. For example, your personal projects can be in Dropbox and your work projects in Google Drive. To add another storage, you can say in any chat: connect Google Drive using Living Projects, then click Allow. Or add them all when you first connect: after your first storage, the Living Projects page offers the others.
In our testing, Gemini worked well with one or two storage services. Google Drive was a little slower than Dropbox. With all three connected, Gemini got lost. Gemini doesn't connect to OneDrive on its own, but Living Projects can still keep your project's notes and decisions there. You can connect both during setup, or add another later: ask in a chat, and Gemini gives you a link to connect it.
You can see the projects from all your connected storages listed together by asking: list my homes.
Each project stays in the storage it was created in. Moving a project to another storage isn't supported yet.
What can Gemini access in OneDrive through Living Projects?
Through Living Projects, Gemini can save and read your project's notes and decisions in OneDrive, so you can continue the work in a new Gemini chat or task.
If your work is already in OneDrive, Gemini can't open those files directly, because Gemini doesn't support OneDrive as a storage. Living Projects keeps your notes and decisions there, but it doesn't give Gemini access to your existing files. If you want Gemini to read a document or spreadsheet, for example, you can download that file and upload it in a Gemini chat.
You don't need existing files to use Living Projects. A project can begin with a conversation, and its notes build up as you work.
For working with existing files in Gemini, choose Google Drive or Dropbox. OneDrive remains an option for keeping your Living Projects notes.
I see a notice before connecting. Is that normal?
Yes. Living Projects isn't in an app store, so your AI or your storage shows its standard notice for apps it hasn't reviewed. ChatGPT, Gemini and OneDrive show one. Read it, and continue if you're comfortable. If you use your storage through work, your company may only allow apps it has approved. In that case, you can ask your company, or use a personal account.
The connection link won’t open. What do I do?
If the link appears as plain text, copy the whole address, paste it into your browser’s address bar, and press Enter.
If it has expired, ask your AI for a new connection link using Living Projects.
I haven't used Living Projects in a while, and now my AI asks me to connect my storage again. Is my work still there?
Yes, everything is still there. Some storages turn off access when it hasn't been used for a while.
Why does Living Projects need a custom link to connect? Why can't I find it in my AI's directory?
Living Projects is not in the directory yet. We plan to add it. For now, you connect using a custom link. Once it's connected, it works just like anything from the directory. Each AI's Connect page shows how.
Saving and fixing
Does my AI save notes on its own, or do I have to ask?
Your AI may offer to save something, and it saves it in your project when you say yes. You can also ask anytime, in your own way, for example: save this, save note, record this, put it on record, or this goes on record.
Can I lose my notes or record?
No. When something changes, your earlier work stays. Your AI adds a new note, and the old one stays. If you change a decision, both the original decision and the new decision stay in your project.
The one exception is your project summary. Your AI rewrites it when it organizes the project, after you approve.
If your AI also has its own connection to Dropbox or Drive, it can use that connection to change files directly. Those changes happen outside Living Projects.
Can I fix or change what my AI saved?
Easy fix. You can ask your AI to correct it. That correction is saved alongside the original.
When your AI organizes your project, it puts together a summary for you to review. The summary is written for you and for your next chat, which works from it, so some parts may read more like notes for your AI. You can change the wording, add anything that's missing, or ask for other changes before it's saved.
Does Living Projects check my notes for mistakes?
It confirms the note was saved. It doesn't check whether the information is correct. Reviewing the information in your notes is part of the work you and your AI do together, making sure it's accurate and says what you meant.
How do I know my note was saved?
When your AI saves a note with Living Projects, it tells you the note is saved and VERIFIED. Most AIs also show the steps they took, and you can open them to see Living Projects there.
Or you can ask: "Did you save it with Living Projects? Show me the VERIFIED line."
If you have any doubts, open your project's notes folder in your storage and check for yourself.
My AI saved a note, but not with Living Projects. What's the difference?
Your AI can save a note using its own storage connection or using the Living Projects plugin.
When it uses Living Projects, the plugin confirms that the note was saved successfully. Your AI then reports it as VERIFIED. A note saved through another connection doesn’t have this confirmation from Living Projects.
VERIFIED means the save succeeded. You and your AI still review the note to make sure it says what you meant.
You can ask: Save this using Living Projects.
The note reads differently from my words. Is that normal?
Yes. Your AI saves the information you want to keep. When the exact wording matters, ask it to save your exact words, for example: "save my exact words," "save it verbatim," "save it just like that," or "save the whole thing." You can point to the part you'd like saved, and that's what goes in your note.
Can I rename the folders in my Living Projects home?
No.
These folders and files are essential for Living Projects to work properly. Please do not rename them:
- the Living Projects folder
- HOME.md
- the folder ending in RECORD
- each notes folder: Claude Notes, GPT Notes, Gemini Notes
- Parking Lot
- plugin
I have a duplicate note. What happened?
Sometimes your AI saves the same note twice, and the copy gets (2) at the end of its name. It happens. You can delete the copy yourself in your storage.
AIs, chats and devices
Which apps and modes can I use?
Claude: chat, Cowork, Claude Code and Claude Design. Claude chat works on every plan, free included. In chat, you can also talk in a live voice conversation, in Voice Mode.
ChatGPT: chat, dot, GPT Work and Codex, on a paid plan. In chat, you can also talk in a live voice conversation, in Voice Mode.
Gemini: Chat and Task. Gemini’s live voice conversation doesn’t reach Living Projects or your storage: in a chat, you can record a message, and it’s sent as text.
In Claude and ChatGPT, Living Projects works the same in the phone app.
Can different AIs and seats work on one project?
Yes. Claude, ChatGPT and Gemini can all work on the same project, and so can each AI's different seats. For example, Claude chat and Cowork, alongside ChatGPT, dot and GPT Work, alongside Gemini’s Chat and Task. Each AI saves to its own notes folder, and the project summary brings everything together.
I'm not a coder, but I use Claude Code. Does Living Projects work there?
Yes. Claude Code can read what you've saved in Living Projects, use it as you work, and save new notes there too.
Claude Code also has auto memory: its own notes that help it remember work between sessions. With both running, there are two sets of notes for the same project. In our experience, they can get out of step and cause confusion, so we turn auto memory off for the project we're working on with Living Projects.
That's how we use it. You can keep both if that works better for you.
If you want each new Claude Code session to start already knowing your project:
- Click Copy to copy this line:
@Living\ Projects/HOME.md - Start Claude Code and choose your project's main folder as the folder to work in.
- Paste the line and ask: make a CLAUDE.md file with this line
From then on, each new session starts already knowing your project.
A tip, if you're not a coder: you can talk it through in a regular chat first, then ask that chat to write the message for Claude Code. Chat helps you think it through and check the work, and Claude Code does the building.
I'm not a coder, but I use Codex. Does Living Projects work there?
Yes. Codex can read what you've saved in Living Projects, use it as you work, and save new notes there too.
Codex can also keep its own memory: notes from earlier chats that help it remember your work. This memory is off unless you turn it on. When it's on, there are two places holding information about your project. You can choose, chat by chat, whether Codex uses its memory or adds to it.
A tip, if you're not a coder: you can talk it through in a regular chat first, then ask that chat to write the message for Codex. Chat helps you think it through and check the work, and Codex does the building.
I have several chats open on one project. Do they know about each other?
Not while they're open at the same time. Each chat reads your project when it starts, and saves what you decide along the way. What one chat saves, the next chat you open can read. If you're working in a chat that's already open, you can ask it to read your project's notes again to catch up on what the other chats saved.
Will a new chat know everything we discussed, or only what we saved?
Living Projects gives your AI saved information to read from your project’s home. Save as much as you want, as often as you want, to keep a fuller picture of your work: what happened, what you decided and why, and what comes next.
Some AIs can remember details or refer to earlier chats; therefore, some information may carry into a new chat. What they can find depends on the AI and your settings.
When the exact wording matters, ask your AI to save your exact words.
Does it work on my phone, and with voice?
Yes. Once you connect Living Projects to your AI, it works wherever you use that AI, on your computer and on your phone. In Claude and ChatGPT, it also works in a live voice conversation.
I use the same AI on web and desktop. Do I need to reconnect twice?
No. One reconnect per AI is enough. For example, if you reconnect in Claude on the web, Claude on desktop, on your phone and in Claude Code are reconnected too. ChatGPT and Gemini each need their own reconnect. One exception: Claude Design connects on its own, so it needs its own reconnect too.
Stop, Pause or Delete?
What happens if I stop using the Living Projects plugin?
Your projects stay in your storage, as plain text files. You can open and read them anytime, with or without Living Projects. You can also copy them anywhere you like: to your computer, a flash drive, or another storage.
How do I disconnect the plugin's access to my storage?
In your storage's settings: in Dropbox, under connected apps; in Google, under third-party access; in Microsoft, under app permissions.
What happens to my projects if Living Projects is no longer available?
Your files stay in your storage, so nothing is lost. Your AI just can't save or read notes with Living Projects anymore.
Can I delete my notes or projects?
Yes. You can delete any note, file or project folder yourself, in your storage. Your AI can't delete anything using Living Projects.
A new chat reads your project fresh, so a deleted note is simply gone. If the note was already organized into your project summary or the record, that information is still there. You can tell your AI what you deleted and why, for example: "I deleted the note about the Annecy trip, it's no longer happening."
What happens to my project when the work is finished?
Your project stays in your storage. You can ask your AI to organize it and save a final summary of what was completed and anything left unresolved.
You can read the files yourself or return to the project with your AI later. You decide whether to keep or delete them.
How it works
I already copy summaries into new chats. How is Living Projects different?
Copying summaries lets you give a new chat information from earlier work. You choose what to include and carry it into each new chat.
With Living Projects, you save useful information as you work. Your AI can then read it from the same project folder, including decisions and the reasons behind them.
You can continue with a different AI without preparing and pasting a new summary each time.
My AI already has memory. Why use Living Projects?
Living Projects gives you a project record you can see, keep and carry between AIs. Your notes and decisions live in your own storage as plain files, independent of any AI or Living Projects itself.
- Keep what matters. Ask to save an idea, a decision or a correction, and check what was saved.
- Keep the reasoning, too. Return to what you chose, why you chose it, and the options you set aside.
- Leave ideas for later. Keep thoughts you don’t want to pursue now without losing them.
- Pick up where you left off. Bring your saved work together to see what’s decided, what’s still open and what comes next.
- Keep control of your work. Open, copy, move, edit or share your files whenever you want.
- Continue with another AI. Use the same project home through Living Projects in ChatGPT, Claude or Gemini.
Your AI’s memory and Living Projects can work side by side. When you’re ready to return to a project, just name its home:
we’re working in TRIP TO EUROPE home — where were we?
Do I need to use my AI’s Projects feature?
No. You can use Living Projects in a regular chat.
A Living Projects home is a folder in your own storage. Your AI’s Projects feature groups chats and files within that platform. They are separate things.
In a new chat, tell your AI which Living Projects home you want to work on. For example:
Using Living Projects, we’re working in JOB APPLICATIONS home — where were we?
My project already has files and folders. Can I use Living Projects with it?
Yes. Your files stay where they are. Your AI reads them through its own connection to your storage, and Living Projects keeps your notes and decisions.
For example, your trip itinerary is already in your storage. Your AI reads it, you plan together, and when something is decided:
Save that decision using Living Projects.
To start, say the one line for your storage:
In Dropbox: Add Living Projects to my existing trip folder.
In Google Drive or OneDrive: Create a Living Projects home for my trip. In OneDrive, you’ll find it in Apps → Living Projects.
Your itinerary stays where it is, and your AI keeps reading it through its regular connection.
Ask your AI to read the documents that contain the information it needs to understand the project, and to describe where the work stands, so you can check its understanding.
Can I save useful work from chats I had before connecting Living Projects?
Yes. Open a chat that contains work you want to keep and ask your AI to save it in your project’s home using Living Projects.
For example:
Using Living Projects, save the decisions we made in this chat to JOB APPLICATIONS.
If useful information is spread across several chats, do the same in each one. Your AI can save what it can read in that chat; it may not know what was discussed in the others.
What happens when I ask my AI to organize my project?
Your AI reads the saved notes and the existing project record. It brings together what has changed and proposes additions to the record and an updated project summary.
You review the proposed changes and ask for any corrections. Once you approve, your AI saves them using Living Projects. Your original notes stay in their folders.
Why are my notes saved in plain text?
Plain text opens on any computer or phone, with or without AI. Every AI can read it and write it. Your notes stay simple, so they work everywhere.
How do I see all my projects?
Ask your AI: list my homes. It shows the projects in every storage you've connected. If you've connected only Google Drive, it shows only your Google Drive projects. To see your Dropbox or OneDrive projects too, connect those as well.
How many projects can I have?
As many as you like. Each project gets its own folder in your storage. A whole project's notes usually take up less space than one photo.
One complex project: one home or several?
A complex project can have many folders and still use one Living Projects home.
If you're writing a book, you might have folders for chapters, research, characters and drafts. Those are your working files. Your Living Projects home keeps track of the book as a whole, with notes from the different AIs you work with, decisions you've made and where you left off.
What belongs in the same home, and what needs its own?
The chapters, research and drafts all contribute to the book, so they can stay in one home.
Later, you might start looking for a publisher. That work grows out of the book, but now you're keeping track of publishers, submissions, replies and next steps. You can give it its own home while the book keeps its original one.
The two are still connected. Feedback from a publisher might lead you back to the manuscript. Each home keeps track of its part of the work.
